Transforming print management in GP practices through managed print services

Mansion House Surgery, based in Staffordshire, is part of a network of 143 general practices and 25 Primary Care Networks (PCNs) under the region’s Integrated Care Board (ICB).

The team at the practice was overseeing its own fleet of 30 printers, which included ordering toner supplies when they had run out. This led to a build-up of used toner cartridges and drums that they couldn’t recycle, while also losing substantial time to device maintenance.

The surgery is one of 16 GPs that has been piloting Brother UK and Arc IT Business Solutions’ MPS partnership. By using Brother’s original consumables, implementing automated supply management and improved maintenance, the practice is expected to save approximately £5,300 – a 45% saving – over the next five years.

Tackling everyday print challenges

Mansion House Surgery’s fleet of 30 printers spanned various models and ages, performing critical printing tasks including patient sample labels, prescription instructions, vaccine records and doctors’ notes. However, manually monitoring toner levels, and procuring a mix of genuine and third-party consumables, created challenges for the administrative team to manage. Resolving printer-related issues began to cost teams valuable time.

Assistant practice manager Anne-Marie leads the day-to-day administration for the practice. But she became increasingly distracted by troubleshooting and fixing the surgery’s print fleet, alongside monitoring toner levels and keeping up with supply reorders. Recognising these challenges, Brother UK and Arc IT Business Solutions developed a full, tailored MPS service, designed to improve efficiencies while freeing up time and resources.

The first step was to eliminate the surgery’s reliance on third-party consumables, which had been causing printer malfunctions and increasing its maintenance costs. By switching entirely to genuine Brother supplies, the surgery saw an immediate improvement in print performance, as well as a decrease in the frequency of breakdowns and need for repairs.

A key component of the solution was automated toner replenishment.

Now, the surgery no longer has to manually track toner levels or stockpile cartridges. The system automatically monitors usage and reorders when supplies run low, ensuring that the right consumables are always on hand.

The old toner cartridges can then be returned free of charge to Brother to be remanufactured or recycled at its Recycling Technology Centre in North Wales, meaning no waste ends up in landfill.

This not only saves Anne-Marie valuable time, but it also helps to reduce waste and to ensure printers are operational when they’re needed most.

The surgery was also able to enter into an additional service agreement with Arc IT Business Solutions to recondition the surgery’s older printers, extending their lifespan and delaying the need for costly replacements. The reconditioning process, combined with regular maintenance, ensures that the practice could continue using its existing hardware, removing the need for an expensive upfront investment.
